How to Stop Feeling Overwhelmed When Everything Feels Important

I’ve been there more times than I’d like to admit.
There have been mornings when I had a full day planned. Client calls, emails, writing, meetings, errands…all important. I would sit down at my desk, look at my list, and instead of getting started, I’d stare at it.
The more I looked, the harder it became to choose. I just couldn’t decide what deserved my attention first.
That’s one of the biggest lies overwhelm tells us: that everything is equally important.
The truth is, it isn’t. Some tasks move you forward while others simply keep you busy.
When your brain is overloaded, it stops prioritizing effectively. Every email feels urgent. Every notification demands your attention. Every unfinished task competes for space in your mind.
Instead of making a decision, you keep bouncing between tasks, hoping you’ll eventually feel clear enough to start.
Ironically, the more choices you have, the harder it becomes to choose one.
How to Break the Cycle
When I notice myself slipping into overwhelm, I come back to three simple questions.
1. What actually needs to happen today?
Not this week or someday but what actually needs to happen today.
2. What will make the biggest difference if I finish it?
Think of a task that will create momentum.
3. What can wait?
This is often the hardest question. Sometimes the most productive thing you can do is decide that something doesn’t need your attention right now.
What Changed Everything For Me
For years, I thought the answer was finding a better planner, a better app, or a better productivity system. What I eventually realized was that I needed permission to stop trying to do everything.
